Job Description

We are seeking an exceptional individual to join our established team as Office Manager/Purchasing Manager with some Executive Assistant duties. You will manage and support a full- and wide-ranging mix of critical administrative and office functions across the firm, an award-winning New York interior design practice. You’ll play a pivotal role ensuring the efficient and effective operations while maintaining a productive and welcoming work environment. The ideal candidate will report to the owner, Paris Forino. The position is full-time and based in our busy Chelsea office. At times, supervisory skills will be required. Permanent, existing U.S. work authorization is required.

Job Requirements

EXPERIENCE
• A bachelor’s degree plus 5-7 years office management and executive assistant experience in a small office environment, ideally with an interior design or architectural firm.
• Hyper-organized, structured, detailed- and completion-oriented.
• Comfort with taking the initiative, multi-tasking, time-management and prioritization.
• Highly professional, discreet, reliable, responsible and responsive.
• Strong communications and interpersonal skills, gifted in dealings with colleagues, suppliers, partners, and clients.
• General technical proficiency; proficiency with MS Office Suite, including MS Access, and Quickbooks.
• Experience dealing with purchasing, office leases, technology, benefits administration, bookkeeping, external legal, insurance, real estate resources, etc.

RESPONSIBILITIES
• Wide-ranging operational responsibilities including management of the office, equipment, supplies, inventories, furnishing, IT, telephones, AV, samples library, filing systems/records, subscriptions, mail, banking, security, etc.
• Management of all operations vendors including landlord, janitorial, PEO, benefits, insurance, IT support, legal, bookkeeping/accounting, copying, web-master, etc.
• Executive assistant duties to Paris Forino.
• Contract management and support.
• Management of our internal databases: project management, timesheets, expenses, invoicing, purchasing, KeePass, etc.
• On-boarding new hires.
• Support design projects with respect to event planning, client meetings, supplier accounts, purchasing, moving and storage companies, photographers, stylists, etc.
• Calendar and scheduling.
• Support of Instagram and other social media accounts.
• Special projects as they arise.
